  1. Scope

Guardhouse enhancements:

  • [GH-6054] Create repeating template
    • Enables the company to setup repeating templates especially for sites/customers with recurring staff assignments, removing the manual process or creating shifts and/or reloading shifts from templates
    • When saving templates (either Site or Week), a new option “Repeat Template” is now available
      • When ticked, the admin will be given the option to set the recurrence (cycles):
        1. Repeat every – the recurrence of each set of shifts; can be every week, 2 weeks, 3 weeks…, up to 8 weeks
        2. Load ahead – the number of repeats before a certain template is automatically loaded; can be 1 time, 2 times, 3 times and 4 times
      • Logic for initial load – upon initial save of the template, we need to fill in the first cycle based on the recurrence setup, for example, template is saved for week Nov 17-23
        • Repeat every week, Load ahead 1 time – initial load will create the shifts for Nov 24-30
        • Repeat every week, Load ahead 2 times - initial load will create the shifts for the first 2 cycles of 1 week (Nov 24-30 and Dec 01-07)
        • Repeat every 2 weeks, Load ahead 3 times – initial load will create shifts for the first 3 cycles of 2 weeks (Dec 01-07, Dec 15-21 and Dec 29-04)
        • Repeat every 8 weeks, Load ahead 4 times - initial load will create shifts for the first 4 cycles of 8 weeks (Jan 12-18, Mar 09-15, May 04-10 and Jun 29-05)
      • Automatic loading of shifts – after loading the initial set of shifts, we’ll keep track of the “next recurring date”; shifts will be automatically loaded when we reach the “next recurring date; using the same examples above:
        • Repeat every week, Load ahead 1 time – the next shifts will be loaded one cycle ahead; this means by Nov 24-30, the system will automatically load the shifts for Dec 01-07
        • Repeat every week, Load ahead 2 times - the next shifts will be loaded two cycles ahead; this means by Nov 24-30, the system will automatically load the shifts for Dec 08-14
        • Repeat every 2 weeks, Load ahead 3 times – the next shifts will be loaded three cycles of 2 weeks ahead (total of 6 weeks); this means by Dec 01-07, the system will automatically load the shifts for Jan 12-18
        • Repeat every 8 weeks, Load ahead 4 times – the next shifts will be loaded four cycles of 8 weeks ahead (total of 32 weeks); this means by Jan 12-18, the system will automatically load the shifts for Aug 10-16

      • Changes on Schedule:
        • When a repeating template is assigned to a site, a repeating icon is displayed along with the Name of the template used for that Site
        • In the event that multiple templates are assigned to one site, the text “Multiple templates assigned” will be displayed
        • On hover of the repeat icon, it will show the Name, Description, Repeat every and Load ahead detail of the templates assigned
      • Load Site/Week Template
        • Each repeating template will have the repeating icon, plus the recurrence details (Repeat every and Load ahead)
        • Manual Loading of Repeating Templates is NOT allowed – when you click Load Site/Week Template, you will not be able to select the repeating template manually
        • Editing of Repeating Templates is NOT allowed – if the admins want to update a template, they need to delete the original template and recreate it with the new shift details
        • When deleting Repeating Templates, admins will be prompted with a message that the Repeating Template will stop running automatically, but the shifts that were already loaded will not be deleted (they will need to review manually if they need to update those shifts)
      • Changing of Week Start – in the event that the admins change the week start in the company settings, the admin will be prompted with a message that says all repeating templates will be deleted and will stop running automatically (this is because the templates are dependent on the original week start and end)
