Subbie Sharing for a Subcontractor
Once the top company shares sites with a subcontractor, the subcontractor can then share their staff up with the top company if desired. Here are the steps to do this:
- Click on Organization and select Customers from the dropdown
- Under the Subcontractor Details subtab, go to Linked notification from customer and allocate the person who will be receiving notifications related to a shared shift.
- Multiple staff members can be assigned to receive linked shift notifications.
- If no one is assigned to receive linked shift notifications, the system will default to sending the notifications to ALL administrators in the Guardhouse account.
- In case you would like to have this feature disabled, please reach out to the Guardhouse Support team or your Success Manager.
- Select the linked customer you would like to share your staff with. Click on the Shared Staff subtab.
- Your list of staff will appear and from here, you can click on the Share button beside the name of the staff.
- Hit Save
- Other options will become available
- Encrypt - staff email address and mobile number will appear as codes on the top company's end
- Hide Contact Details - staff's contact details (mobile and email) will not appear on the top company's end
- Blacklist - staff will appear as blacklisted on the top company's end
Here are ways that a subcontractor can allocate staff to a shared shift:
- The top company shares a blank shift with the subcontractor
- A shared shift will be created by the top company for a site. In this option, the time is set by the top company and cannot be changed by the subcontractor.
- The shared shift appears blank on the end of the subcontractor and the subcontractor can allocate any staff to the shift regardless is the staff is shared to the top company or not.
- The subcontractor can then publish the shift.
- The top company shares a shift with a preferred staff already allocated to the shift
- A shared shift will be created by the top company for a site. In this option, the time is set by the top company and cannot be changed by the subcontractor.
- The shared shift will come down to the subcontractor with an allocated staff already. Only the shared staff to the top company can be allocated to the shift.
- A subcontractor can reject the top company's allocated staff if deemed necessary and allocate another staff to the shift. In this case, a note box will pop up where the subcontractor ca indicate the reason for changing the staff for the shared shift.
- The subcontractor can then publish the shift.
- The top company delegates the subcontractor to sites
- This option allows the subcontractor the most freedom and authority when in comes to the creation of a shift. Once a site is delegated to the subcontractor, the subcontractor has the freedom to directly create the shift on the delegated site, set the start and end time of the shift, and allocate any staff to the shift.
- The subcontractor can then publish the shift.
