How to set up Company Invoice Template


Creating a professional invoice has been made easy with the security services invoice format from Guardhouse. To setup a company invoice profile, you can follow the steps below.


  1. Log in to your Guardhouse app.
  2. Click organization then select Company from the drop down menu.
  3. Click the Invoice Tab.
  4. Click the + icon to create a new Invoice company profile.
  5. You can set up the following details:
  • Company Name
  • Set as default?
  • Address
  • Invoice Logo
  • Email address
  • Mobile number
  • License #
  • Company ABN
  • Prefix
  • Invoice Number Prefix
  • Batch ID Prefix 
  • Grouping options
  • Payment Details- Bank Transfer, Cheque, Online payment

6. Hit Save to apply the changes. 




How to Set Customer Invoice Profile


After setting the company invoice, you may now set up a customer invoice profile. You can follow the steps below.

  1. Log in to your Guardhouse account.
  2. Click Organization then select Customer from the drop-down menu.
  3. Click Invoice profile.
  4. Click + button to add new customer invoice profile and fill out the information needed as per below.
  • Company Name
  • Set as default
  • Invoice contact first name
  • Invoice contact last name
  • Email address
  • Mobile number
  • PO Number Prefix
  • Invoice type
  • Detail
  • Terms
  • Invoice tax rate (%)
  • Job/Tracking Option
  • Item/Activity
  • CardID/Contact Name
  • Export Invoice type
  • Address

5. Hit Save to apply the changes.



How the invoice process works.


All timesheet entries approved will automatically generate an invoice on the Invoice tab. To apply the Service charge, you would need to set it up first. Essentially, Service rates are the rates that will be applied to your invoice when you approve the timesheet and this will be the rate you charge to your customer. It will be automatically show on the Invoice tab.




Just click the invoice item



You can then save and send it to your client for payment.
