3.5% increase to the National Minimum Wage and minimum pay rates under the Award will take place on the first full pay period starting on or after July 1, 2025.


To help you make adjustments to your pay rates in Guardhouse, here are two ways you can make the changes: 


1) Creating New Pay Groups - This option is beneficial if you have pay group names that are very specific amount-wise or year-wise (example: Casual Level 1 - 30, Casual Level 1 2025). Since pay group names on Guardhouse cannot be changed, it would be easier to just create a new pay group.  


To do the changes, just follow these steps.

  • Go to Organization and select Company from the dropdown
  • Click on the Payrates tab
  • Go to Pay Group and select the pay group you would like to change
  • Click on the Copy button on the upper right side
  • Change the name of the pay group (ex: Casual level 1 2025)
  • Change the rate values under the Rates column (No need to change the pay categories if these are generic such as Casual Level 1 Day. But if they are specific amounts, you might have to change the categories ex: Flat 30.)
  • Hit Save
  • Go to Pay Templates and select the pay template where you would like to add the created pay group to
  • Adjust the pay group (default and sites). You can also go the the Actions button on the right hand corner and choose "Apply Paygroup Changes".
  • Hit Save and tick on the date of effectivity. (If you have a weekly calendar, we suggest choosing the starting week June 30 and then manually making edits to the timesheets for June 30 only.) 

 


2) Editing Existing Pay Groups 

  • Go to Organization and select Company from the dropdown
  • Click on the Payrates tab
  • Go to Pay Group and select the pay group you would like to change
  • Change the rates in the ‘Rates’ field and Save the changes
  • Repeat this procedure for all pay groups that need to be updated



  • Once you have updated all the Pay Groups, update the Pay Template. The previous pay group and rates will still apply at this stage. There will be (i) icon next to any pay group that has been updated in the left panel. Select the Changed Pay group and Go to ‘Actions’ and select ‘Apply pay group changes’.

 


  • The system will then ask you to select an ‘Effective Date’. Repeat the above process, applying changes to any Paygroup with updated rates.



NOTE: If you have already approved the Timesheets covering the effectivity date of the updated rates, you will need to: 

  • unapprove timesheets before making the pay rate changes. 
  • click ‘Reprocess’ in the Paysheets screen to apply the new rates.
