To better monitor your staff, you can enable the Welfare Check feature of Guardhouse. Just follow these simple steps:
- Click on Organization and choose Company from the dropdown
- Go to Company Settings and click on Notifications
- Go to Welfare Check and toggle it on
- Toggle on the SMS and/or Push Notification option/s that would work for your company setup
- Default follow-time (in minutes) are already there but you can change the follow-up times to suit your needs
- Toggle on Run Welfare Check between times
- Set a Global Setting for the welfare check. This will be the default set-up for all the sites. Please note that as long as there is no time interval added for each site, this setup will not take effect.
- Set a Site-Specific set upfor the welfare check. This setting is best applied when you only have certain sites that require welfare checks. You can limit the day/s as well as times that the welfare checks will be sent out. You need to set the time interval (in hours) for the checks. Here's how you can set this up:
- Click on Organization and choose Sites from the dropdown
- Select the site
- Under the Site Details tab, scroll down to Run Welfare Check Interval (hours) and set the time interval of when the welfare checks will be sent out
- Make sure Run Welfare Check between times is enabled. Set the days and times for the welfare check to be sent out.
- Hit Save.
The first welfare check will be sent depending on the settings you set have the Sites page. You can set the system to send up to 3 follow-ups and set each to be sent minutes apart from the time the initial one was sent. For example, you set the welfare check to be sent every 2 hours on the Sites page. A welfare check will be sent exactly 2 hours from when the guard’s shift starts.
If the guard does not respond to the initial welfare check, you can set a follow-up to be sent 1 minute after the first welfare check. If there is no response, a 2nd follow-up can be sent 2 minutes later and the succeeding follow-ups to be sent 3 and 4 minutes afterward.
If the guard does not respond to the last welfare check follow-up (and the welfare check escalation is enabled, managers and admins will be alerted that the guard missed the welfare check.
When the Welfare Check Escalation widget is enabled on the dashboard (Organization > Company > Notifications > Welfare Check > Enable Welfare Check Escalation), you can monitor the staff members who have missed their 3rd welfare check follow-up.
You can also track the status of welfare checks on the dashboard under Live Operation. When a welfare check is sent, the staff's status will appear green and say "Checking Welfare". Once the guard responds to the welfare check, the status goes back to "Clocked In".
Click on the welfare check status to have a more detailed view of how many welfare checks were sent and how many were missed. You also have the option to add a note.
You can also generate a report for audit purposes. You have control on the customer, site, and date range of the report. Here's how:
- Click on the Reports tab
- Scroll down and click on Welfare Check Status Report
- Under Report Options, choose the customer, site, and date range for the report
- Generate report

Q: Can escalation notifications be customized to be sent to certain administrators and managers per site?
A: Not at this stage. All notifications will be sent to all managers and administrators.
Q: My guard just clocked in but is already receiving a welfare check when I set it up to be sent out every two hours. Why is this?
A: This scenario can happen when someone clocks in early to a site with a 24-hr welfare check setup. The system will detect that the shift has already started and will send out a welfare check.
