The Live Operations widget allows management to see the live activities of the guards before, during and after their shift. You can see the status the shift is in and track the Clock In and Out of shifts and also the status of Welfare Checks.
- Site - This is the site where the staff is assigned to work on a specific shift.
- Name - Shows the name of the staff assigned to the shift. You can click the information icon (i) beside the name of the staff so you can view their details including the email address, phone number, and compliance and renewal information.
- Status - This will show the status of the guard for a specific shift. Statuses are color coded so you can easily spot those that need to be actioned (ex: missed clock-ins). Different statuses include:
- Clocked In
- Clocked In On Site
- Missed Clock In
- Awaiting Clock In
- Clocked Out
- Clocked Out Off Site
- If Welfare Checks are enabled, the status of the welfare checks will also show on the Status section of the Dashboard.
- Welfare Check in Progress
- Missed Welfare Check
- Start Time - This shows the time the shift is supposed to start (based on what has been planned on the Schedule page). Other information shown are:
- The actual time of the administrator or manager's location, which is helpful if there is a difference in time with the shift site.
- How early or late the clock-in was done along with a color indicator.
- End Time - This shows the time the shift is supposed to end (based on what has been planned on the Schedule page). Other information shown are:
- The actual time of the administrator or manager's location, which is helpful if there is a difference in time with the shift site.
- How early or late the clock-out was done along with a color indicator.
- Verification- This will show the full details for the shift including the actual clock-in and clock-out times of the staff. other information available are:
- Who did the clock in and clock out, which is helpful if an administrator or manager did the clock in/out of the shift.
- The GPS location where the guard clocked in and out for the shift.
- Photo capture of the staff's clock in and clock out. This becomes available when the feature is enabled (Organization > Company > Timeclock > mobile Phone Timeclock Enabled > Activate Photo Capture)
- Question Response- This is where you can see the response of the staff for the clock in custom questionnaire that you set.
FAQs:
Q: Can an administrator do the clock in/out on behalf of a staff?
A: Yes. you would just need to go through a few steps:
- Enable the Admin/Manager Clock In and Out feature (Organization > Company > Settings > Timeclock > Admin/Manager Clock In and Out)
- Go to the Staff Page and choose your name as the administrator or manager. Tick on the permission Can clock staff in/out on dashboard.
- Go back to the Dashboard and click on your staff's status. Clock that person in/out of the shift. You can adjust the time of the clock in/out as well as leave a note, which will flow through to the Timesheets section.
Q: If a guard missed a clock-in, can an administrator/manager call him/her through Guardhouse to know where he is at?
A: Not at this time. The only available communication option is through Team Messaging, where you can send a message to your staff through the Guardhouse app. The staff, however, cannot reply back through the app.
Some clients use the Call monitoring feature in Guardhouse to track the staff that they have called. Please contact the GH Support Team or your Success Manager to have this turned on for your account.
Q: How much information is shown on the Live Operations widget?
A: The Live Operations widget contains 14 hours' worth of information. If you need a full report, you can use the Live Operations Report (Reports > Roster Reports > Live Operations Report).
Q: How often does the Live Operations widget show the updated information of the clock in/out?
A: The Live Operations widget refreshes every minute by default. However, you can adjust this on Organization> Company > Settings > General > Live Operations Dashboard refresh timer.
