Having so many sites attached to a customer can be overwhelming and confusing, especially when it's time to do the rostering. That is why Guardhouse came up with the Site Positions feature. The end goal is to have a more organized and flexible way of rostering while maintaining the convenience of having the correct service charge and pay template paired with a shift.
This feature would work well for the following:
- Events (football games, races, etc)
- Bars and clubs (supervisors, security staff, bar staff, etc.)
NOTE: It is highly recommended that this feature be utilized along with the Skill Matching feature.
Here's how it works:
- Contact GH Support or your Success Manager and request to have the Site Positions feature turned on for your GH account.
- Create a site and attach it to a customer as normal.
- Add positions to a site. There are two ways you can do this
- For positions that you want to always be available as an option every time you create a site, the recommended way to add the positions would be under Organization > Company > Site Position Lookups. Add the positions here and attach a role template if needed.
- Another way of adding positions is to do this under Organization > Sites > Site Positions. This option is good if positions vary for each site. This can be done manually every time. You can attach a Role Template if needed. All positions added here will be added to Site Positions Lookup.
- For positions that you want to always be available as an option every time you create a site, the recommended way to add the positions would be under Organization > Company > Site Position Lookups. Add the positions here and attach a role template if needed.
- Once you've added the positions to a site, you can now create shifts against those positions.
- Go to Schedule
- Choose the correct customer
- Choose to schedule by Site Positions. This will open all the positions under the site.
- Create your shifts are normal, save, and publish.
NOTE: If there are many sites for each customer and many positions under each site, it is recommended that you use the filter option in the Schedule page: Actions > Filters > Select one site at a time.
FAQs
Q: Can I still do shared shifts if I use the Site Positions feature?
A: Yes, you can still do linked shifts on Positions. The only limitation at the moment is the positions will not be shared with your subcontractor. It will only show on the top company's end.
Q: Can the guards see the positions when they receive their shifts?
A: Yes, they will receive the position they are working in the notes section of their shift on their mobile app.
Q: Can I create shifts by position on mobile?
A: Yes, this feature is available on mobile. Please refer to this guide.
