The holidays can be challenging when there is a high demand in manpower. Some companies offer a higher rate to guards to compensate for their worked hours. In turn, they charge their clients a higher rate, especially on New Year's eve. For some companies, a different public holiday rate applies for shifts worked on the New Year's Day and the rate can apply on the afternoon of January 31 (ex: from 18:00-24:00). 


Guardhouse is designed to pick up holiday rate changes for days (and even certain times) as long as these have been set up correctly. Here are the steps to ensuring you can allocate the correct charges for the upcoming New Year's eve.

  • Set up January 31 as a holiday and you can adjust the time of coverage as needed as well. (Please refer to these articles for guidance: Adding a Holiday in Guardhouse, Setting a Specific Time for a Holiday.)
  • If the charge rates are different for New Year's Day (perhaps a higher charge rate than what you normally charge on regular holidays), create a separate service charge for the customer on Organization > Customers > Select the customer > Service Rates. 
  • The changing of charge rates will have to be done manually either on the Schedule page or on the Timesheets. We encourage doing this on the Schedule page so the changes flow to your timesheets ready for approval.
    • If you would like to do the change on the Schedule page, create the shift as normal and the Service Selection dropdown, choose the New Year's Day charge rate.
    • If you would like to do the change on the Timesheets page, go to the affected timesheet and change the Service under the Position/Service/Pay Group column. 
  • Create your invoice as normal. The New Year's Day charge rates should apply on the affected hours of the public holiday. Please note that you can still make changes to the service charge category as well rate on the Invoicing section.
