The holiday season is a busy time for the security industry. To ensure enough manpower, some companies provide a pay incentive to those who opt to work through the holidays (ex: New Year's Day). Some companies pay their guards a higher holiday rate and this can start on the eve of the actual holiday (ex: January 31 from 18:00-24:00).
Guardhouse is designed to pick up holiday pay changes for days (and even certain times) as long as these have been set up correctly. Here are the steps to ensuring you can allocate the correct pay rates for the upcoming New Year's eve.
- Set up January 31 as a holiday and you can adjust the time of coverage as needed as well. (Please refer to these articles for guidance: Adding a Holiday in Guardhouse, Setting a Specific Time for a Holiday.)
- If the pay rate for New Year's Eve/ New Year's Day is higher than your regular holidays, there are different ways that you can adjust the pay rates for the affected shifts:
- The easiest way is to adjust the rate on the Paysheets page. The downside to this option is you will not be able to indicate that this is a New Year's Day rate.
- If you would like to show that the rate is a New Year's Day rate, you can create a pay group and have this available as an option to attach to a shift or timesheet.
- Go to Organization > Company > Payrates
- Under Pay Categories, add a category for New Year's Day
- Create a Pay group to reflect the New Year's Day rate.
- You can change the pay rate for an affected shift either on the Schedule Page or the Timesheets. We encourage doing this on the Schedule Page so the the change flows through the Timesheets.
- If you would like to do the change on the Schedule Page, select the affected shifts and choose from the Rate Selection dropdown the New Year's Day rate.
- If you would like to do the change on the Timesheets, select the affected timesheet and change the Pay rate on the Position/Service/Pay Group column.
- If you would like to do the change on the Schedule Page, select the affected shifts and choose from the Rate Selection dropdown the New Year's Day rate.
- Process your timesheets as normal. You should see the breakdown of how may hours will be paid for the New Year's day rate.
- The easiest way is to adjust the rate on the Paysheets page. The downside to this option is you will not be able to indicate that this is a New Year's Day rate.
