Looking at all sites on the Guardhouse app can be overwhelming for guards when they're making their rounds and they must choose the next site to visit. To make the patrols feature more efficient and user-friendly, we are introducing the Regions feature. This will enable the admin/managers to assign certain sites to guards that will be available to them.
Each region will essentially be a run sheet containing a set of different patrol sites that a guard will visit for his shift. A guard can be assigned to more than one region. Please note, however, that a region can be assigned only at the staff level this time and not at the shift level.
Here's how to set up this feature:
- Go to Organization > Mobile Patrols > Regions
- Click Add New and start adding a region. This can be done in two ways:
- Enter the name of the site/location/province and choose from the dropdown the correct address. The system will automatically geofence the site/location/province. Rename the region as desired and Save.
- The second way of creating a region is by drawing on the map and geofencing the areas that you would like to be covered. Click on the Start Drawing button and click on the points on the map until everything you would like included is fully enclosed. Hit Save. Rename the region as desired and Save.
- Enter the name of the site/location/province and choose from the dropdown the correct address. The system will automatically geofence the site/location/province. Rename the region as desired and Save.
- Go to Patrol Sites and assign the different patrol sites to a region. Note that unassigned patrol sites will show on the mobile app for guards to access.
NOTE: For new patrol sites added that are within an existing region, the system will automatically assign it to that region. If the new patrol site falls within the area of two or more regions that are overlapping in scope, the system will assign the patrol site to the first created region. It is, therefore, imperative that managers/administrators go over the patrol sites and make sure that they are assigned to the correct region.
- Go to the Staff page and choose a patrol guard. Make sure that he is allowed access to patrol sites and a region/s is assigned to him.
- On the Guardhouse mobile app, the guard will only see the sites that are under his assigned region/s.
Q: Can one patrol site belong to different regions?
A: Not at this time -- one patrol site, one region. One workaround is to set up a patrol site twice. Ex. Patrol Site AM VISIT belongs to Region 1 while Patrol Site PM VISIT belongs to Region 2.
