Guardhouse has released the HR Onboarding feature to make onboarding and data collection easier for employees. This feature provides end-to-end digital onboarding that is secure, paper-free, and compliant with the new superannuation laws.


  • Compliant by Design: 

Prompt every employee to choose their superannuation fund when they nominate a bank account and provide their tax details, thus significantly reducing the burden of new manual compliance imposed on your business by the Your Fururem Your Super reforms.


  • Make the correct contribution to the correct super fund

Paying superannuation for employees is mandatory, and contractors may also be classified as employees for this purpose. Starting the 1st of July 2026, employers will be required to pay their employees' superannuation alongside their salary and wages.


  • Avoid costly manual compliance

Employers who don't use a digital onboarding tool risk having large numbers of employees default. To comply, employers must enquire with the ATO as to the stapled fund of every employee who does not complete a choice form - incurring significant cost and regulatory risk. And with the super set to be paid on payday from 2026, this burden may grow further.



Here are the steps to onboard new and existing staff. 


  • The first step is to go through and add in your organisation's Super Fund. To do this go to Organisation > Company > Payroll tab. From there you will see you need to add in the USI. You can find your Super Fund USI by using this link 


  • Under Organization > Staff, add a staff as normal.


  • Hit the Save and Send invitation button. Click on the option to request onboarding from the staff along with the security licences and compliances needed from the staff. 


  • For existing staff, there will be a gold button on the upper right corner of the page to Request Onboarding


  • The staff will then create a GH account and download the GH app. When the staff logs in to the app, there will be a notification about the onboarding request. If he chooses to Proceed, he will be directed to the onboarding page. If he chooses to Close, there will be a badge on the Onboarding menu indicating that the onboarding still needs to be actioned.


  • When the Onboarding menu is opened, the guard will be taken to the onboarding page. This page will display different levels of information the staff can add. 
    • Personal Details
    • Emergency Contacts 
    • Bank Details 
    • Tax Details
    • Super Selection


  • The guard will have to check that all details are correct before hitting the Continue button.



  • Once the onboarding is completed, the onboarding menu will no longer show on the mobile app. Please note that once a staff is onboarded, the data is final. Any changes to the staff details will have to be done on the Guardhouse website (Organization > Staff > HR Details).


  • Every time a staff completes the onboarding, an email will be sent to selected administrators and managers to inform them of this completion. To set this up go to Organisation > Company > Notifications Tab > Onboarding Notifications = ON. Select which managers and administrators will receive the onboarding notification.


  • To generate a report of all onboarded staff, go to Reports > Onboarding Reports.


  • You will also be able to see everything that has been required to onboard through the Staff Listing Report.
