You can deploy staff from external labour providers within your Guardhouse system even if those providers do not have their own Guardhouse account.
In order to create a subcontractor (labour provider) company within your Guardhouse account, who are not already using the system, you will need to first add them in as a subcontractor.
In order to do this, go to Organisation - Subcontractor:
Here you will see a list of any subcontractor companies you have within your account and add any new ones on:
In order to add a new subcontractor, you will need to fill in the Subcontractor Company Name and Subcontractor Abbreviation on the Subcontractor Details tab. The Subcontractor Abbreviation is what will appear next to staff members names when they are allocated to this subcontractor:
On the Subcontractor Details tab, you can also the Company Registration Number, a Subcontractor ID, a contact, and the subcontractors address details:
You can choose to Generate a Custom User ID for each subcontractor staff member that you create, this will allow you to have ID's that are automatically created for each subcontractor staff member as you add them. You can choose the prefix and the start number for the ID's and Guardhouse will follow on consecutively:
When you add on staff, in order to assign them to a subcontractor, you will need to toggle the subcontractor tick box and from here you will be able to select the subcontractor company them come from:
Once you save them into your account, you will be able to see the subcontractor abbreviation in brackets next to their name:
In the Subcontractor tab, you will be able to see an alphabetised list of the staff members that are assigned to a subcontractor:
In the Subcontractor Compliance tab, you can add any subcontractor agreements and insurances. For items such as Public Liability, you can add expiry dates and reminders, which will appear in the dashboard under the subcontractor reminders box. Additionally , you can store any notes on the subcontractor as required:
On the Subcontractor Rate tab, you can assign a default payroll calendar and pay template that will automatically apply to any new staff that you added on who are assigned to this subcontractor at the point of their account creation:
This process enables you to effectively manage external labour providers within your Guardhouse system, ensuring accurate staff tracking, streamlined compliance, and integrated payroll settings without requiring them to hold their own Guardhouse account.
