The Access Privileges feature of GH determines the amount of information your staff can access on their account. This feature also allows super admin, admin, or manager to permit or restrict someone from viewing and editing employee details including personal information, pay, etc.
Types of Access Privileges:
1. Employee Access - An employee is granted limited access to their schedule, enabling them to view it. They initiate unscheduled shifts and respond to available shifts by either accepting or rejecting them. The level of access granted to them determines the extent of their GH view on their account.
Examples:
- Giving access to the patrols sites will open a sub-access of which regions/runs the staff can access under patrols
- An admin staff who works in the office may be hidden from the Schedule page and there would be no need to monitor their security licence.
Here are the list of a accesses/limitations that can be assigned to an Employee:
- Hide ____ on the schedule - The employee's name will not show on the rostering page.
- Does not require security license - The employee's name will not appear on the Dashboard > Security Licences section for monitoring. If the employee is assigned to a shift, the heavy black line indicating a licence is missing will not show.
- Allow view-only access to full schedule - The employee see all shifts created for all sites on the Guardhouse app.
- Allow access to patrol sites - The employee will see all patrol sites on the app.
2. Manager - Managers have full schedule management capabilities covering sites and customers assigned to them. They can assign shifts, respond to requests, and manage other employees that belong to their customers.
A manager can have access to all sites or only certain sites. Additional access can be given to them such as access to all sites but with view only capability. Here is the list of accesses/limitations that can be assigned to a manager:
- Hide ___ on the schedule - The manager's name will not show on the rostering page.
- Does not require security license - The manager's name will not appear on the Dashboard > Security Licences section for monitoring. If the manager is assigned to a shift, the heavy black line indicating a licence is missing will not show.
- Can work as payroll manager - The manager will have access to the pay features on Guardhouse such as creating pay groups and pay templates that can be attached to employees, sites, and shifts. They will also be able to process payroll.
- Can work as invoice manager - The manager will have access to the invoicing features on Guardhouse such as the creation of charge rates and allocation of charge rates to shifts and sites. They will also be able to create invoices.
- Can view wages - The manager will see the pay template and the actual amount paid to a shift.
- Can view charges - The manager will see the charges against a shift on the Schedule page and the Timesheets section.
- Can view timesheets - The manager will see the timesheets. They will have the ability to make changes to timesheets and approve or reject them.
- Allow view-only access to full schedule - The manager will see all the shifts created on the Schedule page but will not be able to create or modify shifts.
- Allow view all sites - The manager will have access to all sites
- Allow access to patrol sites - The manager will see all the patrol sites. They can add or modify the patrol sites.
- Can View Staff Documents - The manager will see all the customer, site, and company documents related to a staff member. They will have access to all the documents uploaded under the Organization > Staff > Staff Documents section.
- Can View HR Details - The manager can see all the information under Organization > Staff > HR Details. They can modify data as well.
- Read Only Staff Page - The manager will have access to all the staff list but will be unable to modify the staff details.
- Read Only Site Page - The manager will have access to all sites but will be unable to modify the site details.
3. Administrator - Administrators have full management capabilities of the entire system. They have access to all customers and sites. They can create shifts and manipulate the schedule for every customer and employee in the system.
Just like the manager, additional access or limitations can be given to them as well. Here is the list of accesses/limitations that can be assigned to an administrator:
- Hide ___ on the schedule - The administrator's name will not show on the rostering page.
- Does not require security licence - The administrator's name will not appear on the Dashboard > Security Licences section for monitoring. If the Administrator is assigned to a shift, the heavy black line indicating a licence is missing will not show.
- Can work as payroll manager - The administrator will have access to the pay features on Guardhouse such as creating pay groups and pay templates that can be attached to employees, sites, and shifts. They will also be able to process payroll.

4. Super Admin - This is the highest access available on Guardhouse and can only be assigned on the backend. Please reach out to your success manager or the Guardhouse Support Team to enable this feature for an administrator. Just make sure that the account has been activated.
