Pathway: Organization > Company > Company Settings > General > Allow staff to start an unscheduled shift


When this feature is turned on, the staff can start an unscheduled shift by clicking on the "Start Unscheduled Shift" button. When the feature is turned off, the "Start Unscheduled Shift" button will not show up on the GH mobile app, so the staff can only clock in to the shift they are assigned to.



When starting an unscheduled shift, the staff would be required to fill out the following: 

  • Select Customer
  • Select Site
  • Notes - has a maximum of 1000 characters (ex: the reason for starting an unscheduled shift) 
  • Signature (if required based on company settings)



On the Timesheets page, an unscheduled shift will come up as an "Unscheduled Entry". The clock-in time and clock-out times will be the ones appearing in the Start and End time columns, but these can still be adjusted by the admin/manager.

What are the Pros and Cons of turning off/on this feature?

Pro: 

This feature is helpful during emergency or last-minute situations where there is not enough staff to manage the Schedule page changes immediately. This feature allows for flexibility as one staff on-site can start an unscheduled shift at once to cover for a staff that can't make it to his/her shift.


Con:

If there is a change in the shift schedules (ex: one staff can't make his/her shift and someone else has to fill in for that person) and no changes are made on the Schedule page, there will be two timesheets showing up in the Timesheets page (one for the initial shift and one for the unscheduled shift). 



How is the start an unscheduled shift feature different from an offered shift?

An unscheduled shift can be made by the staff as long as this is turned on in the company settings. This will appear as an Unscheduled Entry on the Timesheets page and will use the clock-in and clock-out times.


An offered shift comes from the admin/manager and the staff can reject or accept the shift. Once the offered shift is confirmed by the staff and approved by the admin/manager, this will automatically be considered by the system as an assigned shift. The schedule times, as well as the clock-in and clock-out times, will appear on the Timesheets page.



Can the staff clock in to an unscheduled shift when a site is not yet added to a customer's GH account?

If the Start an Unscheduled Shift feature is turned on, the "Start Unscheduled Shift" button will appear on the GH mobile app. However, if the site is not yet added to the customer's GH account, clocking in to the shift will not be possible. Customers and sites have to be added to be able to utilize the Start an Unscheduled Shift feature.
