The subcontractor-sharing process offers convenience and flexibility, but there are situations where a staff member may need to be unlinked. This can happen if the staff member no longer works for the subcontractor or if the top company has blacklisted them from its work sites.
How to Unlink a Staff Member
Unsharing the Staff Member
- The subcontractor must first unshare the staff member:
- Navigate to Organization > Customer
- Select the linked Customer
- Go to Shared Staff
- Untick "Shared Staff"
- Save

What Happens Next?
- Once unshared, there are two possible outcomes for the subcontractor:
- Keeping the Staff Active: If the subcontractor still intends to employ the staff member, they can remain on the active staff list and be rostered as needed, including for linked shifts.
- Deactivating the Staff Member: If the subcontractor no longer requires the staff member, they can be deactivated. Their details will remain in Guardhouse, allowing for reactivation if rehired later.
Important: Always check the deactivated staff list before creating a new account to prevent duplicates in the top company end.
- Once unshared, there are two possible outcomes for the subcontractor:
Impact on the Top Company
- Once the subcontractor unshares a staff member, they will automatically be deactivated on the top company’s Guardhouse account.
- Once the subcontractor unshares a staff member, they will automatically be deactivated on the top company’s Guardhouse account.
Special Scenarios
1. Staff Working for Both the Top Company & Subcontractor
- If a staff member is employed directly by the top company and also shared as subcontractor staff, two separate accounts will be created—even if the same email is used.
- When the subcontractor account is unshared, only the subcontractor account will be deactivated, while the direct staff account remains active.
2. What Happens If a Subcontractor Deactivates a Staff Member Without Unsharing First?
- The staff member will still appear as linked and active in the top company’s system.
- To avoid this, a linked staff member must always be unshared before deactivation.
