Guardhouse has been hard at work putting together exciting new functionality for our clients. We now can provide our clients with a suite of functionality to manage their mobile guarding fleet all within the same platform as static site work.
Easy to set up and implement, Mobile Patrols is the next evolution of the Guardhouse platform.
Creating Patrols Sites
Patrol Sites are places where guards visit to perform security duties throughout their Mobile Patrol shift.
To keep things simple, we've made creating patrol sites exactly the same process as creating a static site.
To add a Patrol Site, navigate to Organization > Patrol Sites
Site Details
Click "Add New" and enter the name of the site.
The site name will populate with results from the Google Listings API which will ideally fill in the site name and also provide the address and coordinates for the site Geofence without additional input.
Once you have added the site name, make sure you pair the site with the Customer it belongs to.
Add a "Patrol Access Geofence"
The Patrol Site Geofence sets the range in meters that a guard must be within before they can say they are on site and access the information for that Patrol Site.
"Expected time on site in minutes" allows you to set how long you expect a guard should be spending on a site.
When a guard arrives at a patrol site, their time on site is tracked until they indicate they have finished on site.
Tracking and auditing these times can be done by running the "Patrol Staff Activity Report" in the Reports tab of Guardhouse.
Alarm Company & Site Contacts
This tab allows you to add key contact information for each site from client specific contacts to Alarm or Monitoring company details that you need to store or provide to your guards.
Alarm Company, Monitoring Company & Call Out Contact are split into their relevant sections so contacts can be assigned based on their required workflow.
You can add as many contacts in each section as you need.
If you want your guards to access these contacts while performing their duties, click ‘Visible on mobile’ to provide them access on mobile while the guard is within the Geofence at the Patrol Site.
Site Documents
Site Documents allows you to upload assignment instructions, maps and other useful information that guards may need while on site.
The Site Documents tab will show you all the documents you have uploaded at each site, when you added the document and allow you to view or download a copy.
To add the document, click "Add New" and you'll be taken to the document details page.
You can add the name of the document, and attach the file on this page.
When adding a document you can choose to allow guards to view it before they arrive on site or restrict it to be viewed only once they are within the Geofence.
To allow access to the document off site, enable the "Allow document to be viewed off site?" claim.
Site Codes and Instructions
In Site Codes and Instructions you can add codes that guards will need for access points within patrol sites.
Locks, access pads or any other codes that need to be added should be placed within this page.
To add a code, click the "New Code" button.
You can add the Code Name, enter the code and add a note to help the guard understand what it is used for.
Guards can only access this information while within the Geofence and have selected I'm on Site on the app
In the Site Instructions section you have a free text field to add any information or instructions you want guards to have access to while on site.
Location / Checkpoints
Setting up NFC or QR Code Checkpoints at a Patrol Site is exactly the same process as on a fixed site.
Use the guides below to learn how to take full advantage of this great feature.

Incident Reports
The Incident reports tab allows you to enable or disable specific reports so that guards only have access to the reporting forms they need while on this site.
